Populate a Microsoft Word template<\/p>\r\n\r\n<p>&nbsp; &nbsp; &nbsp; &nbsp;&nbsp;2. Convert a Word document&nbsp;to PDF&nbsp;<\/p>\r\n\r\n<p>To demonstrate this new functionality, I am going to create a Flow that triggers when an item is created in SharePoint, populates a Word Document template&nbsp;using the item metadata, and saves the document to a document library in SharePoint as both a Word Document and a PDF.<\/p>\r\n\r\n<p>My list item, document library, and word template file will have the following fields:<\/p>\r\n\r\n<ul class=\"wp-block-list\">\r\n <li>Title<\/li>\r\n <li>Customer<\/li>\r\n <li>Contact<\/li>\r\n <li>Amount<\/li>\r\n <li>State<\/li>\r\n <li>Signed Date<\/li>\r\n<\/ul>\r\n\r\n<h2 class=\"wp-block-heading\">Create a Word Document Template<\/h2>\r\n\r\n<p>I have already created the list and document library so we will begin by creating the Word Document template.<\/p>\r\n\r\n<p>Open Word and create all the fields we want to be filled out in the document.<\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"MS Flow connectors\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27161001\/Connectors-1-R.png\"  \/><\/figure>\r\n\r\n<p>Next, go to the <strong>&ldquo;Developer&rdquo;<\/strong> tab. If you don&rsquo;t have the developer tab available, right click on the Home tab and select <strong>&ldquo;Customize the Ribbon&rdquo;.<\/strong><\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"Customize word ribbon\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27161000\/customize-ribbon-R.png\"  \/><\/figure>\r\n\r\n<p>From the popup that appears make sure that &ldquo;Developer&rdquo; is selected from the list of available tabs and select OK.<\/p>\r\n\r\n<p>We will now add the content controls to the Word document.<\/p>\r\n\r\n<p>For each data field highlight the text you want to use as the content control and select <strong>Plain Text as Content Control<\/strong> which is the &ldquo;Aa&rdquo; button in the controls section.<\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"MS connectors\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27161000\/connectors-2-R.png\"  \/><\/figure>\r\n\r\n<p>The text selected as the content control should now have a box around it when you hover over it.<\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"Text box in ms\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27160959\/text-box-R.png\"  \/><\/figure>\r\n\r\n<p>Do this for all the fields in the template and save the file as a .docx (<strong>NOT <\/strong>a .dotx template file) in SharePoint or OneDrive.<\/p>\r\n\r\n<h2 class=\"wp-block-heading\">Create a Flow<\/h2>\r\n\r\n<p>Next, we will begin creating our Flow.<\/p>\r\n\r\n<p>Begin by setting the trigger for the flow as <strong>&ldquo;When an item is created&rdquo;.<\/strong><\/p>\r\n\r\n<p>Set the site address and the name of the list that items are being created to.<\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"Entering site address\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27160959\/site-address-R.png\"  \/><\/figure>\r\n\r\n<h2 class=\"wp-block-heading\">Populate the Template<\/h2>\r\n\r\n<p>Now we will populate the template we created.<\/p>\r\n\r\n<p>Select <strong>&ldquo;Next step&rdquo;<\/strong> and enter<strong> &ldquo;word&rdquo; <\/strong>in the Choose an action search box.<\/p>\r\n\r\n<p>Select <strong>&ldquo;Populate a Microsoft Word template&rdquo;<\/strong> from the list of actions.<\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"Choose action\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27160958\/choose-action-R.png\"  \/><\/figure>\r\n\r\n<p>Choose the location and document library that the template is saved in. I saved my template in OneDrive so for the location I selected &ldquo;One Drive For Business&rdquo;, for Document Library I selected &ldquo;One Drive&rdquo; and then select the template created earlier by selecting the folder icon on the right-hand side of the file input and choosing the template file.<\/p>\r\n\r\n<p>You will now see all the content controls you entered in your template file listed.<\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"populate flow template\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27160958\/populate-template-R.png\"  \/><\/figure>\r\n\r\n<p>Next, we will use the dynamic content controls to populate data from our list item into the word template content controls we set up earlier.<\/p>\r\n\r\n<p>Go through and use the <strong>dynamic content selector<\/strong> to add list item data into the template for all fields.<\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"populate template 2\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27160957\/populate-template-2-R.png\"  \/><\/figure>\r\n\r\n<h2 class=\"wp-block-heading\">Create the File<\/h2>\r\n\r\n<p>Now that our template is populated, we are ready to create our file.<\/p>\r\n\r\n<p>Create the next step, enter<strong> &ldquo;create file&rdquo;<\/strong> in the <strong>Chose an action search box<\/strong>, and select the <strong>&ldquo;Create file&rdquo; <\/strong>SharePoint action.<\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"create file\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27160957\/create-file-R.png\"  \/><\/figure>\r\n\r\n<p>Enter the site address of the document library you want to save the document in.<\/p>\r\n\r\n<p>For folder path, enter the document library you are saving the file in. You can also select a specific folder within the library.<\/p>\r\n\r\n<p>I prefer to create the file name with dynamic content, so I set it as <strong>&ldquo;Customer Name&rdquo; Contract.docx<\/strong>.<\/p>\r\n\r\n<p>It is important that you add the file extension within the file name, otherwise you will not be able to open the file.<\/p>\r\n\r\n<p>For File Content select <strong>&ldquo;Microsoft Word Document&rdquo;<\/strong> from the dynamic content options. This will bring in the content from the populated template in the previous step.<\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"create file 2\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27160956\/create-file-2-R.png\"  \/><\/figure>\r\n\r\n<h2 class=\"wp-block-heading\">Save the Document as PDF<\/h2>\r\n\r\n<p>Now if we want to save the document as a PDF instead, we can use the <strong>Convert Word Document to PDF<\/strong> action.<\/p>\r\n\r\n<p>To do this add another step, enter &ldquo;word&rdquo; in the choose an action search box, and select <strong>&ldquo;Convert Word Document to PDF&rdquo;<\/strong>.<\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"convert to PDF\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27160956\/convert-to-pdf-R.png\"  \/><\/figure>\r\n\r\n<p>Enter the site the library is located on, select the document library, and select <strong>&ldquo;FileLocator&rdquo;<\/strong> from the Create File step within dynamic content.<\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"converting word to pdf\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27160955\/convert-to-pdf-2-R.png\"  \/><\/figure>\r\n\r\n<p>Next, we will add another <strong>&ldquo;Create File&rdquo;<\/strong> step.<\/p>\r\n\r\n<p>The only difference this time is to make sure we put the .pdf extension on the file name and select the <strong>&ldquo;PDF Document&rdquo;<\/strong> dynamic content for the file content.<\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"flow word to pdf\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27160955\/flow-word-pdf-documen-33t.png\"  \/><\/figure>\r\n\r\n<h2 class=\"wp-block-heading\">Test the Flow<\/h2>\r\n\r\n<p>Now we&rsquo;ll <strong>test <\/strong>the <strong>Flow<\/strong>. Create an item in the list that triggers the flow.<\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"testing MS flow\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27160954\/testing-flow-R.png\"  \/><\/figure>\r\n\r\n<p>We can now see that we have both a Word Document and a PDF in our document library.<\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"document library in sp\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27160954\/Document-library-R.png\"  \/><\/figure>\r\n\r\n<p>If we open one of the documents, we can see that the fields we entered on the list item are correctly feeding through to the document.<\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"full documenet\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27160953\/Full-document-R.png\"  \/><\/figure>\r\n\r\n<h2 class=\"wp-block-heading\">Enter the Document Metadata<\/h2>\r\n\r\n<p>Before we finish, we need to enter the document metadata.<\/p>\r\n\r\n<p>Navigate back to the Flow, create a new step, enter <strong>&ldquo;Update File Properties&rdquo;<\/strong> in the choose an action search box and select the SharePoint <strong>&ldquo;Update File Properties&rdquo;<\/strong> action.<\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"update file properties\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27160952\/update-file-properties-R.png\"  \/><\/figure>\r\n\r\n<p>Enter the site address, document library name, and <strong>select &ldquo;ItemId&rdquo; <\/strong>from the dynamic content selector to select the Id of the document created earlier in the Flow.<\/p>\r\n\r\n<figure class=\"wp-block-image\"><img decoding=\"async\" alt=\"update file properties 2\" src=\"https:\/\/cdn.dmcinfo.com\/wp-content\/uploads\/2025\/05\/27160952\/update-file-properties-2-R.png\"  \/><\/figure>\r\n\r\n<p>Now enter all the file properties using the dynamic content selector.
