The client’s original scheduling workflow was handled manually using a series of printed documents. This process included logging samples, creating physical project folders for technical sheets, delivering project folders to lab management, assigning projects, returning worksheets to lab management, scanning worksheets, creating client reports, and creating email reports.

DMC digitized this process by creating SharePoint lists for each sample the client received. For every sample the client received for testing, a new SharePoint project was created to store the data digitally. Once the new sample was logged and a project folder created, technical sheets about the product, the material, and the required tests could be stored inside.

DMC added additional metadata fields where upper management could add test types, notes, work orders, agreements, and additional details. Lab managers would then view work orders and assign them to the appropriate staff online instead of having to manually input it into a scheduling system or do so on paper. Staff was then able to access this schedule and easily see their tasks for that day.

This system eliminated the need for a hard copy system of logging samples and scheduling follow up tasks, creating a faster, and more efficient scheduling workflow.

DMC’s client needed an easier way to share a variety of documents with their customers that offered a better user experience. DMC offered a solution that resulted in a one-time implementation fee, saving the client money, as they were previously paying for a monthly service that allowed them to share documents with owners and staff.

DMC built an intranet on SharePoint Online that stored all the documents specific to the client. The internal site helped the client’s employees easily access information for documents pertaining to a specific customer.

Client’s Updated User Interface

We worked to ensure that the intranet was based on the specific person logging in and built a Web Part that grants clients access to their specific intranet using two-factor authentication with Microsoft Authenticator. DMC also built an extranet for the client’s customers to be able to log in and access their documents with ease.

Our expertise in SharePoint Online, React, and .Net allowed us to provide the client with a cleaner interface and an easier navigable, more organized method of file tracking. Our clients now have better visibility of their documents, and they can provide their clients with a branded user interface.

The client used a third-party system to manage employee data: starting from new employee onboarding. DMC engineers developed of a system that would allow them to better manage confidential files such as drug test screenings, I-9‘s, and payroll files.

First, DMC engineers retrieved exports from the third-party system. Our engineers then developed the architecture for document storage. They worked with the client to determine which metadata tags were useful for each employee to have. Once they established a structure for the site, our engineers imported the client’s data to the new system. A confidential document set for each employee was then auto created.

The new SharePoint implementation was programmed to tag document sets with useful information about employees such as their date of employment, office location, and title. Managers, HR, and other required personnel could access files and documents based on the user’s tagged information.

All new documentation moving forward was handled by the system that DMC created to automatically make document sets for each new employee. These sets provided the client with a place to sort, file, and apply custom permissions to all documents.

This solution provided the client with confidentiality protection while utilizing the document management capability offered out of the box by Microsoft 365.

DMC’s client relied heavily on Microsoft’s SharePoint for their daily operations. They needed to migrate their project and document management tools from on-premises SharePoint servers to the cloud. They required a solution that leveraged Microsoft Office 365 for its no-maintenance, auto-upgrade capability.

DMC consultants began by migrating the client’s existing content from SharePoint to the cloud. This migration included many custom features DMC had created throughout the years. Due to differences between the on-premises and online versions of SharePoint, engineers were required to recreate several tools and custom web parts for use in the new online environment.

Additionally, the SharePoint implementation was heavily integrated with third-party systems. DMC updated the integration so that the online tools were still able to integrate with the on-premises third-party systems. Integration included the retrieval of the client’s budget and project info from QuickBooks and a Homegrown ERP System.

Finally, DMC modernized the interface using SharePoint Modern to create modern widgets and web parts. Afterwards, the solution was thoroughly tested, and the cutover was remigrated to go live.

In light of the COVID-19 pandemic, a prominent frozen food company reached out to DMC to create a Crisis Management Portal in their company’s Sharepoint site. DMC developed and implemented a SharePoint Online Communication Site to create this portal. Communication Sites allow companies to share news and other information of note with the rest of the company in a visually compelling way.

The client wanted a central location to direct employees for the company’s updated pandemic response. Within hours, DMC had delivered a Crisis Management Portal linked to the company’s Sharepoint homepage. This portal ensured that their employees were able to find the most up-to-date crisis information in one place, rather than searching emails or other communication forums. This portal comprised of the latest update from the CEO, resources from their HR department such as team building ideas, and forums to share pictures to stay connected to their fellow employees.

DMC provided a place of organization in a time of chaos. We have proven ways to keep companies’ communications organized when there are answers to share.

DMC’s client needed an availability management system to track which projects each of their engineers work on and to identify engineers who have upcoming availability to work on new projects.  The client wanted the ability to view both a project manager’s required resources and the employee’s anticipated time allocation to project work.

A key component of this solution is the integration of data from their Deltek ERP system. Anytime a new project site is created in SharePoint Online, an availability dashboard is generated. The project manager can indicate the amount of effort that needs to be spent on the project over a specified time period.  The project manager can also indicate if the dates are flexible or not. Integration between Office 365’s SharePoint Online Platform and the Deltek ERP system is accomplished through the use of Azure Web Services.

Financial Overview Dashboard
The Financial Overview dashboard provides information on the current financial status of a project broken down into different categories. For each category, the project manager and team members can see the project’s budget, as well as the amount of effort put into the Job to Date (JTD) and the estimated Cost at Completion (EAC) based on the tasks assigned.

Project allocation web part - dashboard for viewing how tasks on a project are assigned
The Project Allocation web part allows project managers to view resource scheduling for a single project, including all employees assigned to the project, who project phases are assigned to, and how many hours will be spent working on that phase in each upcoming week.

Project scheduling for a single employee
Using the Project Scheduling dashboard, engineers can view all of the projects assigned to them. If an engineer modifies their project assignments, other engineers working on the project are automatically notified.

Employee availability tracking via dashboard

Lastly, the Availability web part allows managers to easily find employees who are available for project work during certain weeks. The list can be filtered by project timeline, position, office, category, and competency.

Other benefits of the employee availability system include the automatic generation of a vacation list to keep colleagues aware of who is scheduled to be out of the office. An integrated competency matrix of experience and skills allows management to instantly determine whether or not an available engineer will be suitable for an upcoming project.

The result is an availability system that avoids the dilemma of employees managing up or managers managing down. Project priority and resource distribution is viewed from both directions so that all employees are on the same page with regard to how much time individuals are expected to work on a project.

DMC’s client was interested in switching to Office 365 from Gmail after realizing that Office 365 offered 50 GB mailboxes for each user. DMC used Migration Wiz to move each users’ emails, calendar, contacts, to-do lists, etc. from Google Apps for Business to O365. Migration Wiz was used to overcome challenges encountered during previous migration attempts with built-in Microsoft tools.

Two unique migration issues DMC resolved concerned certain users utilizing labels within Gmail to categorize their emails. The solution included separating the users who flagged emails with labels from those who did not. The other issue DMC helped resolve was a subscription level conflict between their pilot Office 365 subscription and the subscription their entire user base would be enrolled in. DMC worked with Microsoft to deprovision the Office 365 tenant (which wiped all data) and then reprovision with the desired subscription level. This was a 5-7 business day process.

After the successful email migration, DMC was called upon to fix issues with user profiles in Active Directory not syncing properly with Office 365. DMC authored a power shell script to correctly sync users to Office 365 and reinstalled the directory sync process. To fully resolve the issue, DMC collaborated directly with Microsoft’s engineering team through Microsoft Signature Cloud Support, which is available exclusively to Cloud Certified Partners.

The client’s on-premises Exchange server was nearing end-of-life. Rather than continuing to support it or buying a new server, DMC recommended migrating to the Office 365 Cloud. The client and DMC worked together on developing a migration plan that avoided downtime and provided a clear communication plan for users so that they knew what to expect throughout the migration process.

DMC used BitTitan’s MigrationWiz tool to migrate all on-premises Exchange data to the Office 365 Cloud. In addition, Directory Sync was implemented to keep user and group data in sync between their on-premises Active Directory and their Office 365 tenant. DMC also set up Skype for Business so the customer could decommission Yahoo messenger as their business IM tool, and take advantage of instant desktop sharing and video conferencing capabilities.

DMC’s client merged several offices of strategic retirement consultants across the country into one firm. The challenge was developing a system to consolidate each individual consultant’s location and methods of document management and customer resource management.

No global organization system existed in the original network of documents. The lack of organization and proper access caused document sharing issues within the firm. DMC addressed this problem by migrating the files to Office 365 and placing them into folder structures. Using a Powershell script, DMC migrated all of the disparate folders and uploaded them into a SharePoint document management system.

DMC created a client site for every client and addressed inconsistent file naming. SharePoint automatically filed documents into subfolders based on the various folder names. Migrating this network of sources into Office 365 required a full SharePoint implementation.

An extranet was developed to share some documents with clients. Due to the sensitive nature of the personal finances documents, permissions were required. Depending on sensitivity, documents may or may not be shared across all offices.

The success of this project has led to continued work with this client. DMC’s next project is to combine the firm’s various CRM systems. Another future project will automatically manage proposal generation with information already pre-embedded in SharePoint.
